Circular Loom Acceptance: Write Open Items That Can Be Closed with Evidence

An open-item list for circular loom acceptance should connect each unresolved observation to an agreed requirement and the evidence needed to close it. Entries such as improve quality or check later are difficult to resolve because neither party can tell what would count as completion. A useful entry identifies the issue, its reference and the next decision.

This list is a record of unresolved matters, sometimes called a punch list. It supports a project review; it does not create new contractual acceptance terms or replace technical assessment. Agree its use and the authority for closure with the parties responsible for the equipment project.

Write an observation before assigning a cause

Describe what was seen, where it was found and which sample, document or machine configuration it concerns. Keep the observation specific enough for another reviewer to locate it. If the cause has not been established, record that uncertainty rather than placing an unverified diagnosis in the issue title.

For a fabric-related item, identify the trial and specimen references. For a documentation item, identify the document and revision. For a supply-scope item, identify the relevant quotation line and the object in question. These references make it possible to discuss different kinds of issues without confusing them.

General review practice: assign a stable item number and attach a labelled photograph or document excerpt where useful. Record who observed the matter and when. If more evidence is added later, keep the same item identity so the original observation and the eventual decision remain connected.

Attach the applicable requirement and its limits

Point to the approved specification, drawing, sample or agreed test method that defines the requirement. If no requirement has been agreed, identify the item as needing clarification. An expectation first raised during a trial should not be presented as an existing acceptance rule without agreement.

Zhejiang Kangjia Machinery Co., Ltd. lists the MY-YZJ-850/6S Six-shuttle Small Cam Circular Loom for woven-packaging applications. Its product information asks buyers to define fabric folding width, warp and weft tape details, weave pattern and the downstream bag-making plan. The page recommends a model-specific technical sheet before ordering.

Those inputs help identify which configuration and fabric requirement an acceptance observation concerns. A model name alone does not define every acceptance criterion. Keep proposed changes, confirmed requirements and observations in separate fields so a later reader can see which basis was actually used.

Agree the next action and the evidence needed

For each item, state the proposed action, responsible party and evidence expected for review. An action might be a corrected document, clarification of supply scope, an additional identified sample or a repeat observation under agreed conditions. Different issues need different evidence; a photograph is not a universal closure method.

Distinguish a suggested action from an action accepted by its owner. Record the agreed target date or review point without implying that an unconfirmed date is a supplier commitment. If an action depends on material, site access or another decision, show that dependency explicitly.

Items affecting safety must be assessed by qualified personnel using the applicable machine instructions and site procedures. This article does not decide whether equipment may be operated with an unresolved issue. Do not bypass guards or protective functions to obtain acceptance evidence, and do not classify a concern as minor merely to close the list.

Keep corrections and retests traceable

When an action has been taken, record what changed and which revision or configuration now applies. A corrected document should retain a link to the item it addresses. A new sample or trial should have its own identifier and enough context to compare it with the original observation.

General retest practice: place the original evidence reference, the change description and the new evidence reference together in the review entry. Mark whether the same material and observation method were used. If they differ, explain the limits of the comparison rather than treating any new result as direct proof of closure.

Avoid replacing the original evidence with the most recent photograph or number. Preserving the sequence helps the reviewer understand the decision and prevents an apparently clean final sheet from concealing unresolved questions. If the item has changed scope, record that change for agreement instead of silently rewriting its original meaning.

Record closure as a decision with a defined scope

Separate action completed from closure accepted. The person performing an action may provide evidence, while another agreed reviewer decides whether it satisfies the requirement. The record should identify both steps when they are separate responsibilities.

Use explicit final states, such as closed with evidence, awaiting review, or transferred to an agreed later action. Any exception or deferred item should identify its conditions and responsible decision. A blank cell or crossed-out line is not a sufficiently clear explanation of what the parties accepted.

At the final review, reconcile the number of opened, closed and remaining items. Reference the accepted list revision in the relevant handover record. A closed list supports only the scope it actually covers; it does not prove every future fabric result or replace the agreed machine acceptance decision.

Frequently asked questions

Q1: Should every observation be recorded as a confirmed machine fault?

A: No. Record the observation and its evidence first. Cause, responsibility and required action may need further review, especially where material, documentation or the test basis is uncertain.

Q2: Is an item closed when the supplier reports that an action is complete?

A: Action completion is evidence for review. Closure follows the agreed review process and should identify the decision, reviewer and supporting evidence.

Q3: Can an unresolved item be carried into a later project stage?

A: Only through an explicit decision by the responsible parties, with scope, conditions and ownership recorded. This article does not authorise operation or acceptance with an unresolved safety concern.
